Adding and Updating Events
What it is for
The Events Calendar lists everything CCAH has coming up. The same events also fill the small calendar on the homepage, so you only ever enter an event once.
Where to edit them
Sign in, then open the Events editor. Everything happens on that one page.
Events are split into Upcoming and Past. Past events are kept on purpose. For anything that comes round again it is quicker to open last year, change the dates and save, than to type it all in again.
The fields on each event
| Field | What it does |
|---|---|
| Event name | Shown on the calendar and at the top of the event. |
| Description | What the event is, who it is for, and anything people need to bring or book in advance. |
| Photo | Shown with the event. With no photo the calendar shows a plain panel instead. |
| Category | Which CCAH programme the event belongs to. Email Paul if you need one that is not on the list: the calendar has to be told about a new category before it will show events filed under it. |
| Status | Published puts it on the calendar. Hidden keeps the event and all its details but takes it off the calendar. |
| Start date and End date | For a one-day event, make them the same. For a programme running over several weeks, put the last day in the end date and it stays on the calendar the whole time. |
| Start time and End time | Pick them from the clock. They show as 1:30 PM on the calendar, whatever your computer shows you while you are typing. |
| Location | Write it as you would on an invitation: venue name first, then street, town and province. |
Adding a new event
Click Add a new event at the top of the editor. The name and the start date are the only two things you cannot leave empty. Fill in the rest, then click Save event.
It is on the calendar right away.
When an event is cancelled
Set its Status to Hidden and save. That takes it off the calendar and keeps everything you typed, so you can put it back by switching the status to Published.
Remove is for an event that is finished for good. It asks you to confirm first, and names the event and its date so you can be sure it is the right one.
Choosing a photo
Use a wide, landscape photo, roughly 4:3 or wider. A tall portrait photo such as a printed flyer gets cropped to fit and usually loses the top and bottom, which is where the wording on a flyer normally sits.
Click Choose a photo to upload one or pick something already in the library. Neither choosing nor removing a photo takes effect until you click Save event.
